Vacancy - Reception & Administration (Part time)

The Eltham Cemetery Trust is a not for profit community organisation, providing exemplary service and support to its community.  The Trust is seeking an Administration Officer/Receptionist to join our small team, to support our families in the bereavement process, resolving enquiries, assisting in memorialisation arrangements, and undertaking data entry in a professional, timely and accurate manner.

Duties include

  • Provide support to families and visitors with/to :
    • Information about availability and options for burial and cremated remains
    • Provide assistance to complete necessary paperwork
    • Identify burial or interment locations and fulfill historical research requests
    • Facilitate memorialisation arrangements
    • Provide information about Trust services, facilities and products
  • Provide timely and courteous customer service in person, over the phone, or via email/letter
  • Process funeral and interment bookings
  • Maintain accurate Trust registers, records and documentation
  • Scheduling appointments
  • Issuance of Rights of Interment (confirmation of purchase of a grave or interment site)
  • Invoicing and receipting for Trust products and services
  • Raise work instructions as required
  • Digitisation and indexing of Trust archived records
  • Maintain up to date, comprehensive content on cemetery website
  • Preparation of correspondence as directed
  • Take collection of deliveries to the cemetery
  • Purchase of consumables and supplies as required
  • Collection of mail and bank deposits as required

Skills and Experience

  • be at ease working in a cemetery; showing care, compassion and empathy in a highly visible role
  • have resilience to be dealing with and talking to people about death, dying and dealing with the remains of deceased persons
  • working in emotionally charged environment with an understanding of the impacts of the grieving process and dealing with trauma and loss
  • ability to work in a professional and respectful manner towards a diverse range of people, cultures and beliefs
  • excellent communication skillshighly organised, strong attention to detail and ability to multi-task
  • capable of being proactive, productive and showing initiative, willingness to learn new skills
  • strong computer skills in Microsoft Office such as Word, Excel and Outlook

Whilst this is an office oriented role, there is a requirement that the successful applicant is capable of walking the cemetery grounds on a daily basis or as required to support families and staff functions.

Hours per week

25 hours per week (5 hours a day, during business/schools hours). Opportunities for additional hours may exist at peak periods throughout the year. 

Award

Salary and conditions will be in accordance with the State Government Agencies Award.
